1. Information We Collect
We may collect the following types of information:
- Contact Information: Name, email address, phone number, and any other information you provide when contacting us through our website form.
- Usage Data: Information about how you interact with our website, including IP address, browser type, pages visited, and time spent on pages.
- Cookies and Preferences: Language preferences and other functional cookies necessary for the proper operation of the website.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To respond to your inquiries and provide requested services
- To improve and optimize our website experience
- To comply with legal obligations
- To communicate with you about our services, updates, and relevant information
3. Legal Basis for Processing
We process your personal data based on the following legal grounds under GDPR:
- Consent: When you voluntarily submit your information through our contact form.
- Legitimate Interest: For website analytics and improvement of our services.
- Contract Performance: When processing is necessary for the performance of a contract with you.
4. Data Sharing
We do not sell, trade, or rent your personal information to third parties. We may share your data with trusted service providers who assist us in operating our website and conducting our business, provided they agree to keep your information confidential.
5. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws. Contact form submissions are retained for a maximum of 24 months unless ongoing business relationship requires longer retention.
6. Your Rights
Under GDPR, you have the following rights regarding your personal data:
- Right of Access: You can request a copy of your personal data.
- Right to Rectification: You can request correction of inaccurate data.
- Right to Erasure: You can request deletion of your personal data.
- Right to Restrict Processing: You can request limitation of data processing.
- Right to Data Portability: You can request transfer of your data to another controller.
- Right to Object: You can object to processing based on legitimate interests.
To exercise any of these rights, please contact us at info@imationgroup.com.
7. Newsletter Subscriptions
When you subscribe to our newsletter from the website footer we collect and process:
- Your email address — used only to send you new blog posts you opted in to receive.
- Your language preference — so the newsletter and the confirmation email reach you in your language.
- Subscription timestamps — proof of consent under GDPR (when you subscribed, when you confirmed, when/if you unsubscribed).
Legal basis: your explicit consent (GDPR Art. 6(1)(a)). The subscription uses double opt-in: you must click a confirmation link from your inbox before any newsletter is sent.
Withdrawal: every newsletter email contains a one-click unsubscribe link. You can also email info@imationgroup.com to be removed.
Retention: we keep your subscription record while it is active. After you unsubscribe, we keep the email hash for 12 months solely to prevent accidental re-subscription, then erase it.
8. Cookies and Tracking
We use two categories of cookies. You can change your choice any time using the Cookie preferences link in the footer.
Essential cookies — always loaded. These store your language choice and your cookie-banner decision in your browser's localStorage. No personal data, no tracking, no third party.
Analytics cookies — loaded ONLY after you click "Accept" on our cookie banner. We use Google Analytics 4 and Google Tag Manager (provider: Google Ireland Ltd.) with IP-anonymisation enabled. These cookies measure how the site is used so we can improve it. If you click "Reject", these scripts are never loaded and no Google cookies are placed.
A full list of Google's cookies and how to control them is available at policies.google.com/technologies/cookies.
8. Data Security
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet is 100% secure.
9. International Transfers
The website and its database run on a VPS hosted by Hostinger International Limited in Paris, France (European Union). Your contact-form messages, newsletter subscription record and visit logs stay within the European Economic Area (EEA).
The only third party that may transfer data outside the EEA is Google (Analytics 4 + Tag Manager), and only if you accept analytics cookies. Google's transfers are covered by Standard Contractual Clauses (SCCs) and the EU-US Data Privacy Framework adequacy decision (July 2023). IP anonymisation is enabled on our side to minimise the data shared.
No other personal data is shared with parties outside the EEA. If this ever changes we will update this policy before the new transfer starts.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date. We encourage you to review this policy periodically.
